Can I access my other mail accounts in Zoho mail?

You can access your other Mail accounts which support POP Access in Zoho mail. You need to enable POP access and get the Incoming and Outgoing Server details of the mail account you are trying to set up, from your Mail service provider. Learn more.

Will I receive those mails in the same inbox as Zoho? Does Zoho support unified Inbox?

You will have a separate tab created and each of the POP account will be a separate structure maintained under your Zoho Account. Zoho does not support unified Inbox.

The POP accounts added inside Zoho are maintained as separate accounts. You can access the different account by clicking the different tabs.

Can I enable settings for my POP account as well?

You can have separate settings for your POP account for the following parameters:

  • Signature
  • Display Name
  • Vacation Reply
  • Filters
  • Labels
  • Folders

You can add it and maintain it as an individual account with specific settings for the account.

Can I make my POP account as default account?

You can choose your POP account as the default account.

  1. Click Settings » Mail » Mail Accounts
  2. Click the radio button across the account which you want to set as default account
  3. The account will be default account chosen, when you login to Zoho Mail

How do I change the preferred order of my POP accounts?

You can change the preferred order of your POP Accounts by providing the order in the Mail Accounts page. Provide the number in sequence, for the Mail accounts you have added. The preference will be updated accordingly. Learn more

Can I change the frequency at which my POP Account is being checked for new mail?

The POP Account fetch settings provide you an option to set the frequency at which you want to check your account. The time interval can be between 3 to 20 minutes.Learn more

I get an error message saying ‘Unable to fetch mail. Update Mail settings’.

If you have changed your POP account password, there will be an authentication failure, when Zoho Mail tries to access your account. Hence the mail account will be disabled.

What are the ports supported by Zoho Mail?

Zoho Mail supports the standard ports 110, 995 for incoming servers and 25, 465, 587 for Outgoing ports. Currently we do not support other non-standard ports.

What should I type in for the server settings?

The POP Settings for a few online mail service providers are listed here. In case your email account details are not listed here, check with your account administrator.

There is a delay in Mail Fetch inside my POP account in Zoho.

For POP Accounts, mail fetch happens as per the settings for Mail Fetch Interval. You can increase the frequency at which your account is checked for new emails in the Mail Fetch Settings.Learn more

Can I configure my account as IMAP in Zoho. Does Zoho Support the IMAP Client function?

Currently Zoho supports only the configuration of accounts over POP protocol. We have IMAP client function in our road-map. However, we cannot commit on a time-frame on when it will be made available.

If I configure my Zoho account as IMAP, will the emails from my POP account can be retrieved in IMAP Clients?

When you configure your Zoho account as IMAP in external clients, only the emails delivered to your Zoho account can be accessed via IMAP. The emails sent to your POP accounts cannot be fetched via IMAP.

I am unable to send emails in Zoho from my external address. I keep getting the error 'Authentication Failed'.

I got a message saying "Auto-fetch disabled - POP Threshold reached"

When we retrieve email from your account via POP, if the number of messages provided by your Server exceeds 50000, we stop fetching mails for the POP account. Hence your POP fetch would have been automatically disabled.

To start fetching emails again, change the POP setting to 'Delete Mails from Server when I fetch here'. Steps to change the settings:

  1. Login to mail.zoho.com
  2. Click Settings » Mail Accounts
  3. Edit the POP account
  4. Select 'Delete messages from Server'
  5. Provide the password and save the settings.

Once you change the option, you will be able to receive emails without any issues. Please be aware that by selecting the option 'Delete mails from Server', the email may be removed from your Mail Server after POP retrieval, based on the POP behavior of your mail server.

The mails I send directly from my main account appear in my Inbox. How do I move them to Sent folder automatically ?

When you send an email from your other account directly, some POP Servers provides the sent messages to its POP clients. Hence those messages appear in your Inbox. You can create a filter to move those emails to your 'Sent' folder. Steps to create Filter to move to Sent Items:

  1. Login to mail.zoho.com
  2. Click Settings » Mail » Filters
  3. Click on Add Filter and provide a name.
  4. Provide the condition as SENDER contains 'your email address'
  5. Set the action as 'Move to Folder » Sent'
  6. Save the Filter

Once you have created the filter, with sender address as the specified email address will be moved to the Sent folder directly.

Gmail as POP Account

How do I configure my Gmail account to fetch all email in Zoho

If you need all the emails from Gmail, you can make the Fetching optimal by changing the Fetch settings of your account as follows.

  1. Log in to mail.zoho.com
  2. Click Settings » Mail » Mail Accounts
  3. In the number of Message per Fetch, specify 200
  4. In the time interval between subsequent fetches, specify 3 minutes
  5. Click Save
  6. In the Accounts list, click on the Edit icon across the account to be modified.
  7. In the user name field, specify( without recent: )
  8. Provide the password
  9. Make sure 'Delete messages from the Server when I receive here' is checked. (Selecting this option in normal mode will clear the POP queue, but your email will not be removed from the Server)
  10. Click Save

However, Gmail might lock your accounts POP download if it suspects unusual activity in your account.

Some of my new email messages do not appear in Zoho.

Gmail does not support configuring the Gmail Account in multiple POP clients in normal mode. Hence if you have configured your account in multiple clients you need to switch to recent mode of Gmail POP.

How do I change to ‘Recent’ mode in POP settings

If you need just the recent mails, you can switch to the recent mode POP fetching in Gmail, which allows the download of only the past 1 months email to the POP clients.

Steps to switch to Recent Mode in Gmail Fetch:

  1. Log in to mail.zoho.com
  2. Click Settings » Mail » Mail Accounts
  3. Click on the Edit icon across the account to be modified
  4. In the user name field, specify recent:
  5. Provide the password
  6. Make sure 'Leave Messages on the Server' is checked.
  7. Click Save

My Gmail POP account has stopped fetching emails.My POP download has been locked by Gmail

Gmail stops the POP download when the number of email in the POP queue reaches a particular limit. To continue download, you need to clear the already retrieved messages in the queue.

  1. Click Settings » Mail Settings
  2. Select POP Accounts » Edit POP Acccount
  3. Make sure that your POP account is not in ‘Recent’ mode
  4. Select the options 'Delete messages from server whenever I receive messages here'.
    • In GMail, selecting this option, removes the mail from the message only from the queue an not the message from the Server. So your email will not be deleted from the Server but the queue will be cleared..
  5. Click Save

Captcha Unlock

If you face any issues in your POP retrieval of email from Gmail, Gmail might have locked POP download for your account temporarily. You need to unlock it from the Google Apps Captcha link. https://www.google.com/a/<your domain>/UnlockCaptcha . Kindly get back to us in case your issue has not resolved even after following the steps mentioned below.
