    Invite, Share and Publish your Calendar

    Zoho Calendar entitles you to share your calendars publicly, with various levels of access permissions. You can even invite your friends to events which you host. Before inviting them, you can also check for their Free/Busy status.

    Send invitations and track RSVP's

    • Type the email address of the attendee in the invitation field.
    • Click on the "Free/Busy" link beside it.
    • Doing so will display the time at which the invitee is free and when he is busy. This feature enables you to schedule the event considering the convenience of all the invitees. The busy slots are marked in red.
    • If any of your invitees is busy on that date or at that time, you can find the next time slot on which they are free. Click on the link, "Find next available free time" to know when they will be free.
    • Please note that this link will highlight those time slots on which all the attendees are free.
    • Creating the event will generate an email inviting the attendees to the event.

    Make a calendar publicly accessible

    You can allow others to access your calendars by making them public. You can also choose whether or not to let them modify the calendars by assigning various levels of permissions.

    • Right click on the calendar that you wish to make public.
    • Select the option "Share".
    • The same can be done through "Settings".
    • As you click on the "My calendars" tab, you will find a Share link beneath every calendar. Clicking on this link too will take you to the same sharing page.
    • Click on the first option, "Make this calendar public", to enable public viewing of this calendar.
    • There are two levels of permissions for you to assign to this calendar.
      • "View only Free/Busy information" will allow the viewers to know when you are busy or free, and not about the event you might be busy with.
      • "View event details" is the next level of privilege which allows viewers to view what the event for the day is.
    • In either of the two permissions, event requisition can be enabled by selecting the "Allow event requisition" check-box.

    Note:

    When the viewer makes a request, the owner will be notified of it by an email. The owner then checks his calendar, and if he is free on the requested date, he can accept the request. Else, he denies an appointment. In both cases, the viewer will be notified of the status via email.

    Share calendars with individual users

    If you do not want everyone to view your calendar, then we enable you to limit the viewers to individuals, and you can choose who.

    • In the "Sharing" window, the last option is "Share with individuals". Type the email address of the friend whom you wish to share the calendar with. This need not be a Zoho mail address.
    • Using the drop down list, select a level of permission for that particular individual. There are four to choose from. They are, view only Free/busy, View event details, Edit event details and Delegate or manage.
    • After selecting the access rights, click on the Add button.
    • Added entries will have a red "X" mark in place of the Add button. This can be clicked on, to delete the entry and revoke the permissions.

    Embed calendars in wikis/blogs/websites

    You can view the calendars and its events by embedding it in your websites. This includes blogs and wikis too. This can be done with the embed URL provided in the settings.

    • Click on the settings link.
    • Select the tab "My calendars".
    • Click on the option, "Details" which is the first option on every calendar.
    • In the "Details" page that opens up, you will find an embed URL using which you will be able to embed the calendar on websites you host.
    • The URL provided will have the default template. If you are trendy and want to personalize it, click on the link "Customize for more templates". Note that even for embedding the calendar on websites; it has to be made public.
    • There are ten predefined templates for you to choose from, and other options to alter the color, size, time zone and language of those templates.
    • Before finalizing the template, click on "Preview" to see how it would look like on your website.
    • After personalizing the template, copy the corresponding URL to embed on the website.

    Link to calendars from wikis/blogs/websites

    Allow your website viewers to subscribe to your embedded calendar. Add the "Link To" button on your website. When viewers click on this button, they will be subscribed to your embedded calendar. Here is how you can get the "Link To" button:

    • Click on Settings.
    • Select "My Calendars" from the list on the left pane.
    • Of the listed calendars on the right pane, click on "Details" link of the calendar you want to embed.
    • On the extreme right, under "More Links", click on "Link To" option.
    • Copy the HTML code displayed and include it in your website's HTML implementation.
